Shipping & Delivery

Shipping

Items are shipped Monday through Friday(excluding holidays) with a 3:00 p.m. cutoff time. The majority of our orders are shipped with 24 hours of your payment clearing through. It is your responsibility to keep your shipping address updated. Should the package be returned to us as undeliverable due to an error in the address you have on file, additional shipping costs will be collected to compensate for reshipping the item to you. Please note that our shipping process is quite efficient. We will attempt to process your address change, cancellation and order change as quickly as possible. However, we cannot guarantee that we will be able to provide this service. Often, an item is pulled, packed and shipped within minutes of our receiving the order. Please review your order for accuracy before submitting it.

We do give out tracking number if you rquested it.

Please note that some of the item listed on our site maybe shipped out within 1 to 14 business days. 

Please understand that we do our best to get all filter products shipped out in a reasonable time, but please understand OttawaFurnaceFilters.ca does not manufacture filters and therefore we rely heavily on our manufacturers to ship filters that you order, to our location. 

In most cases the wait time is no longer then 10-14 business days, but that is an estimate only, as unforeseen events could cause a delay in shipping out or delivering your filters.

 This applies to most MERV 11, 13 and uncommon filters, such as 30x36 inch filters.

 Please contact us before ordering if you are unsure about the wait time for receiving your filters. 

 Once a shipment leaves our facility, it is in the hands of the shipping carrier, Canada Post. Your item has been expedite, which means you should receive your item, within 2 to 5 business days, from the date of shipping. However, there are no guarantees that this will happen. OttawaFurnaceFilters.ca will always give due diligence required to ship out the items ASAP to our customers; however, we cannot be held responsible for 3rd party actions. Customers must realize that most professional carriers always try to deliver goods in a timely manner, but unforeseen circumstance, such as: bad weather, holidays, traffic accidents, broken down equipment, and human error can cause delays and at times, damage to goods.

In the event that a package has been shipped and passes the expedited delivery time of 2 to 5 business days, it is up to you to inform us of this. Once we are informed of this, we will file a complaint with Canada Post to recover the cost of shipping to you. In all cases, the refund of your shipping cost will take time, as we rely on a Canada Post employee who reviews the compaint and we are unable to affect the progress or the outcome.

If Canada Post takes responsibility of the delay and refunds the shipping cost that we paid to send the item, this will be refunded to you. Please note: What we pay for shipping may vary in regards to what you have paid for shipping. Shipping cost advertised on our website may be listed as a certain percentage of the price of the part, rather than the actual shipping cost. Do not assume the shipping cost paid, is what you will receive back.

The price that we pay for shipping is what you will receive as a refund. Although, there are times where will refund the shipping cost, as listed on the website, if it does not exceed $20 from the actual shipping cost. This is determined on a case by case basis.

We understand that the delay may cause frustation, but we do not intentionally cause delay, this is usually out of our control. We are very efficient when sending out packages, we ensure the correct address is placed on the packages and double check this to ensure accuracy. The delays are out of our hands, as Canada Post is in charge of the process, and there is nothing we can do to speed it up. If your package was sent to the wrong address due to a Canada Post error, they will redirect it to a different processing facility and send it to the correct address.

Shipping Prices for Western Provinces (Including: Alberta, British Columbia, Manitoba, and Saskatchewan):
While OttawaFurnaceFilters.ca strives to remain committed to provide affordable prices on our website; shipping costs associated with our products, are unfortunately out of our hands. OttawaFurnaceFilters.ca uses Canada Post to ship its items across Canada. On some of the items listed on our website, you may be required to pay additional shipping charges.For example: Most filters that are 20x25x5 or 20x25x1 (boxes of 12) will have an additional shipping charge of $50, if you are located in the Western Provinces.This is because the shipping calculations on our website are only calculated for Ontario and Quebec. In most cases, we will wave the additional shipping charges on small item; however we are not able to do this with shipments of larger items. If you have any questions regarding this policy, please let us know.

Delivery for the Ottawa Area

If you are located in the Ottawa area, the chances are that your filter(s) or HVAC product(s) will be delivered to you by one of our delivery vehicles. The only way this will not happen is if you are in one of the areas excluded from our delivery areas or if you have requested us to ship your item(s) using Canada Post. This is very important, as if you do not request for us to ship your item(s) using Canada Post, the item will be delivered by our driver.
It is also important that you fully understand that the Free Delivery Coupon Code is specific to delivery and not to shipping items through a third party shipping provider. If you would like your item shipped by a professional third party shipping provider, you would not be permitted to use the Free Delivery Coupon Code. Alternatively, you do have the option to come to Casselman and pick up your item(s), then you will not be required to pay for shipping.
It is important for you to fully understand that we are not UPS, FedEx, DHL, Purolator, Canada Post, or any other professional shipping company; OttawaFurnaceFilters.ca is a specialty filter and HVAC parts store, that provides free delivery in the Ottawa area. It helps Ottawa customers save money by purchasing their products from a company in the Ottawa area.
This means that although we will provide free delivery, it does not mean that we have the same Terms and Conditions or Policies as professional shipping companies. This applies to items that may go missing after we have dropped them off, as most professional shipping companies will have you pay an extra fee for insurance to cover the cost of the item(s) or they will not deliver the item(s) unless someone is home. This is not our policy; the item(s) will be delivered even if you are not home and our driver will place the item(s) in the most secure location on your property. In most cases, the item will be placed right in front of the door, unless the customer specified a location on their property that they would prefer for their item to be placed.

If you have had problems in the past with packages going missing or with break ins, please let us know in advance. If you notify us that you do not wish to have your item(s) delivered due to security reasons, we will not deliver the item to you ourselves, but you would be required to pay for the shipping of your item(s) or you would be required to pick up your item in Casselman, at an arranged time. This is very important as we have no way of knowing whether you have had problems with deliveries in the past.

OttawaFurnaceFilters.ca takes no responsibility for items that go missing due to theft or any other reason, causing you not to receive you item(s), as upon delivery we will consider the order complete.

In the event that an item does go missing and you suspect that it is a theft, you must contact the police to report your item as stolen. If you suspect that we have not delivered your item, you must let us know, as in all cases, if a customer is not home when we make a delivery, we will take a photo as proof of delivery. These photos, and sign off sheet, are kept on file for a month. After the successful delivery of your product(s), you will be emailed a confirmation of successful delivery. If you have not received your product(s), even though it has been indicated as delivered, you must contact us right away to let us know, so that we can double check to see if we have delivered your order.

OttawaFurnaceFilters.ca will cooperate fully with a police investigation and will pass on all evidence to show that we did deliver the item(s) at your location.

Delivery Sign Off Sheet

I,__________, hereby, am accepting full responsibility, either for myself or on behalf of the purchaser, for the item that has been purchased on the OttawaFurnaceFilters.ca website. I understand that I am bonded to the Terms and Conditions, as set out by OttawaFurnaceFilters.ca, and by purchasing on this website, I have agreed with and fully understand the Terms and Conditions of OttawaFurnaceFilters.ca. It is my responsibility, while the OttawaFurnaceFilters.ca delivery driver is still here, to ensure that the items that I have ordered are correct and as described. If there are any issues with the item(s), it is my responsibility to bring this up at the time of delivery.
As soon as I have signed for myself or on behalf of the purchaser, I, hereby, wave responsibility of OttawaFurnaceFilters.ca for any liability of any wrongdoing, disorderly conduct, and if there are any discrepancies, that may occur after delivery. I, hereby, am responsible for any extra cost associated with any issues after confirmation and delivery of the item(s). This includes, but is not limited to, an extra fee in the event that OttawaFurnaceFilters.ca has to come to deliver any item(s) a second time. This fee could be waved, depending on the situation, but this will be up to the sole discretion of OttawaFuranceFilters.ca. A blank copy of this form is available on our Shipping & Delivery

In the event that the customer is not home, when the item is delivered, the item will be photographed by the delivery driver and a copy of the delivery sheet, with the driver's signature, will be left at the customer's residence. A photo of this delivery will be taken, beside the product that has been delivered.
Please note: You (the customer) will still be responsible for the product that has been left by your door, or at any other part of your property, that you specified prior to delivery. OttawaFurnaceFilters.ca will consider the item as successfully delivered and will no longer be legally responsible for the item(s) once the items have been left on the customer's property. 
Once you receive a product, it is your responsibility to check the item right away to ensure that it is the part, Filter that you ordered. You have 24 hours to verify that the item you received is the item you order; please notify us within 24 hours of receipt of your product, if you received the incorrect item. If there is a delay in notification of an incorrect item, the delay may cause an inability to return the item.

Once your item has been delivered, you are still bound to the Terms and Conditions, as set out by OttawaFurnaceFilters.ca, which you agreed to by making a purchase off of our website.

The blank copy above is what you will be required to sign if you are home and if you are not home, our driver will leave this behind. This is available for all to see and if you do not agree with any of or all of the above, then it is your responsibility to let us know, as you may be violating the terms and conditions of purchasing from our website. Please note: Your item(s) will be left on your property, if you are not home when they are delivered; also, you are solely responsible for your item(s) as soon as they are delivered to your home.

If you do not want us to leave your item(s) on your property, when you are not home, it is your sole responsibility to let us know. In this case, you may be required to pay extra shipping fees and thus you will be unable to use the Free Delivery Coupon Code, otherwise you will be required to come pick up your item(s) in Casselman. If you fail to let us know that you do not wish for your item(s) to be delivered on your property, without you being present, and in the event that the items go missing, OttawaFurnaceFilters.ca will not be financially or legally responsible for any losses that you may incur.
If your items go missing after we have delivered them, it is imperative that you contact the local police department to report your item as stolen. We will fully cooperate with any police investigation and will provide the above delivery sign off sheet, along with all photos and proof of purchase of your item/items to the authorities.

 

In the event that our driver shows up and the customer/other resident of the home refuses to sign the delivery sheet, the driver will not release the product to you. This will, in all accounts, create a logistical delay in receiving your order, as our staff members will be required to find out the nature of the delay and the reason why you/other resident of your home refused to sign the delivery sheet.

If the sign off sheet has not been signed due to a mistaken order or due to you receiving the incorrect item, OttawaFurnaceFilters.ca will do all they can do to sort this issue out. In most cases, the driver will be able to perform the exchange on the same day or the next business day.

In the event that a first time delivery was unsuccessful, do to errors on our side we will attempt a second delivery at our expense. If the error or fault is with our customer, which resulted in unsuccessful delivery attempt. This could result in you having to pay for us to deliver the filters to you a second try, or you will be required to come pick up your filters from our location. Either way, this will result in significant time delays, for you to receive your product.
If you wish for us to make a second delivery attempt, after this issue has been sorted, then you may be responsible for paying an extra delivery fee; this fee will be determined on a case by case basis.

If we are unable work out a reason why you did not sign off on the delivery sheet, and you now wish to cancel your order, you will be subject to a penalty and restocking fee, as significant costs have now incurred. In the event that the item is nonreturnable, which is the case for many of the MERV 11, MERV 13, and specialty order filters, we will deduct our cost of the filter(s), the cost of the man hours incurred, and will refund the remainder of your funds. This is due to the fact that we will have to hold onto your items indefinitely, as they are uncommon orders or sizes.

This is not a course of action, which we wish to take; to avoid these issues, we cannot stress the importance of customers reading all of the information on the listing and the terms and conditions on our website, before proceeding with their purchase.
